Welcome to Google Apps! Start by signing in to your account.

  1. Go to www.google.com and in the top-right corner, click Sign in.
  2. Enter your Google Apps email address (example: joe@company.com) and password.
  3. Click          Sign in         .

Now that you’re in your Google Apps account, here are a few key features that work the same way across several products:

  Gmail: Send professional emails


Top 4 things you should know
  • 1. Send and respond to emails.
    • Send an email: Click COMPOSE, type your recipients and message, and click Send.
    • Respond to an email: Click any message to open it. In the box at the bottom, type your message and click Send.

  • 2. Delete or archive emails you no longer need.
    • Select one or more messages: Check the boxes next to them.
    • Delete a message: Click Delete trash.
    • Archive a message: Click Archive archive. Archiving moves the message out of your inbox, but you can easily find it later with Search.

  • 3. Find your messages.
    • In the search box, type what you’re looking for and click Search .
    • Looking for something specific? Click the Down arrow arrow for more options.

  • 4. Organize your inbox with labels, which are similar to folders.
    1. Select one or more messages by checking the boxes next to them.
    2. Click Labels label, then click Create new.
    3. Name your label and click Create.
    4. Once you’ve created labels, you can add one or more labels to messages by clicking Labels label, checking the labels you want, and clicking Apply.

  • 1. Schedule an event.
    1. Click CREATE.
    2. Add your event details and guests’ email addresses.
    3. Click Find a time to check your guests’ availability. Their calendars layer in a single view, and open spots are meeting spots that everyone can attend.
    4. Click SAVE.

  Hangouts: Send chat messages and make video calls to multiple people worldwide.

  • 1. Start a chat or video call in Gmail.
    1. In your Gmail inbox, on the side of the page, go to the Hangouts list.
    2. If you see the name of someone you want to reach, hover over the name and click Hangout with this contact to send a chat message, or click Start a video call .
    3. If the person you’re trying to reach isn’t on the list, or if you want to contact several people at once: Click Search and type people’s names, check the boxes next to people you want to reach, and click Message or Video.

    1. In the video call, click Invite people .
    2. Type the email addresses of people you want to add, and click Invite.

You can use Google Calendar on a computer, phone, or tablet. Any events you create or edit will sync automatically among all versions of Google Calendar where you’re signed in.

When you get an email about an event like a flight, concert, or restaurant reservation, it’s added to your calendar automatically. If you don’t want events from Gmail on your calendar, you can delete a single event, or change your settings so that events aren’t added automatically.

Note: Events from Gmail aren’t available for Government accounts, or Google Accounts that don’t have Gmail.

Who can see your events

By default, only you can see events added from Gmail – even if you’ve shared your calendar with someone else.

Note: Anyone who has a device that you’re logged into with your Google Account will be able to see your calendar events, including events from Gmail.

After your event is added to your calendar, it will continue to get updated with new information.

You’ll get notifications for events from Gmail based on your default notification settings. You can change the notification settings for the individual event, or change your default settings.


  1. Open Google Calendar.
  2. Click any time on the calendar that doesn’t already have an event scheduled.
  3. Enter your event name.
  4. If you have multiple calendars, choose the calendar where you want to add the event from the “Calendar” dropdown menu.
  5. Click Create event. To edit the details for your event, click Edit event instead.

Tip: To create a longer event, drag your mouse down the page while you’re selecting the time.

Set up a new repeating event

  1. Open Google Calendar.
  2. In the top left corner, click Create.
  3. Add the event title, date, and time.
  4. Under the date and time, check the box next to Repeat.
  5. Choose how often you want the event to repeat, and when you want the repeating event to end.
  6. Click Done.
  7. When you’re done creating your event, click Save at the top of the page
Stop adding events from Gmail automatically

When you turn off the setting to add events from Gmail, all past events added from Gmail will be removed from your calendar. If you turn this setting back on, only events in the future will be added.

  1. Open Google Calendar.
  2. In the top right, click the Settings icon  settings gear button > Settings.
  3. Find the Events from Gmail section (stay in the “General” tab).
  4. Uncheck Add automatically.
  5. At the bottom of the page, click Save.
